Multi-Channel Communications in Advanced Entry

Introduction

Communications in Advanced Entry are an integral part of managing interactions with your registered users, contact groups, and uploaded contacts. Whether you need to send emergency notifications, general updates, or special announcements, our system offers a range of options to ensure your message gets through. This guide outlines all the steps involved in using the Communications features in Advanced Entry.

Accessing Communications Tab

  • Navigation: Start by locating the 'Communications' tab on the left-hand menu of your Advanced Entry dashboard.
  • Features: This tab will display your message history and offer options to send new communications.

Sending to Registered Users

  • Start: Click on "Contacts" within the Communications tab.
  • List View: You’ll be presented with a list of all registered users in your system.
  • Filters: You can filter the list by user type, such as staff, visitor, etc.
  • Send: Once you’ve selected the desired users, click on "Send Broadcast".

Uploading Contacts

  • Upload Tab: Click on the "Uploaded" tab within the Contacts section.
  • CSV: Here, you can upload a CSV file containing names, phone numbers, and emails.
  • Manual Entry: You also have the option to add individual contacts manually.
  • Reuse: Contacts that are uploaded here can be reused for future communications.

Sending to Contact Groups

  • Group Creation: Under the "Groups" tab, you can create a new contact group.
  • Adding Contacts: Populate your new group by adding individual contacts.
  • Send to Group: Navigate back to the Communications tab and select the group for your message.

Selecting Send Method

  • Methods: Choose between sending the communication via SMS, Email, or Automated Calls.
  • Scheduling: You have the option to schedule the message for future delivery.

Sending Automated Calls

  • Automated Calls: This new feature allows you to send automated voice calls to your contacts.
  • Voice Message: Record or upload a voice message that you want to send. You also have the option to use text-to-speech to type in a message.
  • Recipient Selection: Like SMS and Email, select individual contacts, registered users, or groups to send the automated call to.

Adding Credits

  • Balance: Your remaining credit balance is shown.
  • Add More: You can add additional credits as needed.

Viewing History

  • History Tab: All your past communications are stored in the history tab.
  • Details: This includes the number of messages that were delivered and the status of each.
